Reservation & Cancellation Policy
Overview
We operate treks that require advance planning, permits, flights, staffing, and accommodation logistics. For this reason, reservations are confirmed through a deposit and are subject to the terms below.
Our goal is to keep the process fair, transparent, and predictable for both travellers and our local operating team.
Deposits & Reservation Confirmation
A deposit secures your place on a trek and confirms serious intent.
Once your deposit is received:
- your preferred dates are reviewed
- availability and logistics are confirmed
- permits and operational planning may begin
The deposit is deducted from the final trek cost.
If we cannot confirm your trek for your preferred dates, your deposit is fully refundable.
Final Balance Payment
The remaining balance is typically due shortly before the trek begins.
Exact timing will be confirmed once dates and logistics are finalised.
Cancellation by Traveller
Because trekking logistics involve committed costs and local staffing, the following cancellation terms apply after confirmation:
More than 60 days before trek start
Deposit transferable to a future trek date.
30–60 days before trek start
Deposit may be applied to a future date, subject to logistics already committed.
Less than 30 days before trek start
Deposits are generally non-refundable due to committed arrangements.
We will always aim to provide fair options where possible.
Cancellation Due to Weather or Flight Disruptions
Flights to Lukla and mountain weather are subject to conditions beyond our control.
If delays occur:
- itineraries may be adjusted for safety and practicality
- additional accommodation or routing costs may apply
- our team will advise the best available options
Safety and completion of the trek take priority over rigid scheduling.
Cancellation by Operator
In rare cases where we must cancel a trek due to safety, political, or operational conditions:
- your deposit will be refunded, or
- you may transfer to a future departure
Travel Insurance (Required)
Travel insurance that covers:
- high-altitude trekking
- emergency evacuation
- trip interruption
is strongly recommended and may be required before departure.
Changes & Adjustments
Changes to dates, group type, or trek configuration may affect final pricing and logistics.
All adjustments are discussed and confirmed before they are applied.
